Two trimwork quotes can carry the same room count and describe very different jobs. One may include finished material and two final coats; another may stop after installation. A fair comparison starts with a shared brief and a clear boundary around who handles the work before and after the carpenter arrives.
Create one brief for every estimate
List the rooms, measured runs, openings, profile family, material and desired finish. Attach a sample or product reference and mark which existing trim will remain. Include photographs of uneven corners and any transition that needs a designed solution.
If the project includes custom wall panels or crown, provide a dimensioned elevation or ask for design as a separate first stage. A bidder cannot reliably price a layout whose panel spacing and number of details have not been decided.
- Define supply versus install-only work.
- Define old-trim removal and disposal.
- Define wall repair, filling, sanding, priming and final coating.
- Define furniture moving, floor protection and daily cleanup.
- Define custom milling, sample approval and the policy for substitutions.
Compare quantities and exclusions before totals
Read each estimate alongside the room schedule. Check that both include the same faces of each doorway, closet interiors, stair landings and exposed ends. A price per linear foot can help organize a basic run, but it cannot describe all the fitting and finishing around openings.
Ask for allowances to be labelled. An allowance for wall repair or material is not a fixed scope. Establish how extra work is approved, whether tax is included and what conditions could change the price after removal exposes the wall edge.
| Line item | Question to answer |
|---|---|
| Preparation | Who protects floors, moves furniture and removes old trim? |
| Material | Which exact product, dimensions and stock lengths are included? |
| Fitting | Are corner coping, returns, transitions and uneven-wall fitting included? |
| Finishing | Does the price end at nail filling, primer or completed topcoats? |
| Closeout | Who handles touch-ups, waste removal and a final walk-through? |
Put uncertain conditions in their own category
Older coatings, damaged plaster and moisture stains deserve an assessment before a removal price is locked in. Health Canada cautions that disturbing lead-based paint can create exposure. If the age and coating history are uncertain, pause destructive preparation and agree on assessment before sanding or stripping.
The City of Calgary generally distinguishes cosmetic finishes from renovations that change walls or openings. If the trim package is part of a wider remodel, confirm permit responsibility for that wider work rather than treating the whole renovation as a cosmetic upgrade.
Agree on the quality reference
A full-size approved sample can show the intended reveal, joint approach, finish texture and sheen. Write down the punch-list process, touch-up responsibility and how workmanship concerns are reported. Avoid judging the entire job from a brochure picture that never showed the actual room's irregularities.
For a phased project, identify which rooms must be complete at each handoff. Keep a retained sample and product record so a later floor can match the first phase without relying on memory.
